How to Automate Eligibility Verification Without Replacing Your EHR

Every home health agency owner has the same reaction when they hear about automated eligibility verification: "That sounds great, but I just spent two years implementing our EHR. I am not switching."

Good news. You do not have to.

Automating eligibility verification does not require replacing your EHR, building an API integration, or involving your IT department. ClientCare works as a complementary layer that accepts a CSV export from any system—Axxess, WellSky, KanTime, MatrixCare, or any other home health EHR. Upload your roster, and monitoring begins immediately.

The EHR Objection

Home health agencies have a complicated relationship with their EHR. Implementation was painful. Training was expensive. Workflows were built around the system's quirks. The idea of adding another system—or worse, replacing the current one—triggers justified anxiety.

This anxiety is the number one reason agencies continue with manual eligibility checks or intake-only verification. They know the manual process is inadequate. They know they are exposed to coverage lapses and denied claims. But the perceived cost and disruption of automating feels worse than the known cost of the status quo.

The assumption behind this calculus is wrong. Automating eligibility verification does not require an EHR change. It does not even require an EHR integration.

How a Complementary Layer Works

ClientCare is not an EHR. It does not replace your clinical documentation, your scheduling, your billing, or your OASIS assessments. It does one thing: it monitors your patients' insurance eligibility and your staff's exclusion status, and it alerts you when something changes.

The workflow is simple:

  1. Export your patient roster from your EHR as a CSV. Every major home health EHR supports CSV export. You are already doing this for other purposes—billing reports, census reports, compliance reports.
  2. Upload the CSV to ClientCare. Our ingest pipeline reads the file, extracts patient demographics and insurance information, and validates the data.
  3. ClientCare runs eligibility verification automatically. We send 270 eligibility inquiries to payers via Stedi's healthcare API infrastructure and process the 271 responses. This happens on a rolling schedule with risk-adjusted frequency.
  4. When coverage changes, you get a risk ticket. The ticket appears on your ClientCare dashboard with the patient name, the nature of the change, and the effective date. Your team takes action in your EHR—pausing visits, updating the payer, or helping the patient re-enroll.

No API integration between ClientCare and your EHR. No bidirectional data sync. No IT project. No vendor coordination calls. Just a CSV file that you export and upload. For more on how this works, see How to Automate Eligibility Verification Without Replacing Your EHR.

Works with Every Major Home Health EHR

Because ClientCare ingests CSV files rather than requiring a direct integration, it works with any system that can export patient data. That includes:

  • Axxess — export from Reports > Patient Census or Patient Demographics
  • WellSky (formerly Kinnser) — export from Reports or the Patient List view
  • KanTime — export from the Patient module
  • MatrixCare — export from the Census or Patient List
  • Homecare Homebase (HCHB) — export from the Patient List report
  • Netsmart — export from the Patient Roster report
  • Casamba — export from Patient Demographics
  • Any other system — if it exports a CSV with patient name, DOB, and member ID, it works

Our ingest pipeline is built to handle the formatting differences between systems. Column names vary. Date formats vary. Some systems include middle names, some do not. Some include the Medicaid ID in one column, some split it across two. ClientCare's AI-powered extraction normalizes all of this automatically.

You do not need to call your EHR vendor, open a support ticket, or schedule an integration meeting. If you can export a CSV, you can start monitoring eligibility today. Try it free for 30 days.

Why Not Just Use the EHR's Built-In Eligibility Check?

Several EHRs offer eligibility verification as a built-in feature or add-on. The question is fair: why add another tool when your EHR can check eligibility?

The answer comes down to three limitations of most EHR-embedded eligibility tools:

1. They are on-demand, not automated. Most EHR eligibility features require someone to click a button for each patient. They do not run automatically on a schedule. If nobody clicks the button, nobody checks eligibility. This is still manual verification with a slightly better interface.

2. They do not monitor continuously. Checking eligibility once and getting a "covered" result does not mean the patient will still be covered next week. EHR tools typically provide point-in-time checks, not ongoing monitoring. They do not alert you when coverage changes between checks. See How Often Should Home Health Agencies Verify Patient Eligibility? for why rolling verification is the new standard.

3. They do not combine eligibility with compliance screening. ClientCare monitors both patient eligibility and staff OIG/LEIE exclusion status in a single platform. EHR eligibility tools do not screen your staff against exclusion databases. You would need a separate compliance tool for that, which means another system, another login, and another workflow to manage.

The Five-Minute Onboarding

ClientCare is designed for agencies that do not have an IT department. The onboarding process takes five minutes:

  1. Export your patient roster CSV from your EHR (2 minutes)
  2. Log in to ClientCare and upload the file (1 minute)
  3. Our AI extraction parses the file and shows you what it found (1 minute)
  4. Confirm and start monitoring (1 minute)

Within hours, you will see your first eligibility results on the dashboard. If any patients have coverage issues, they will appear as risk tickets immediately. To learn more about what ClientCare is built for, see our home health solutions page.

What About Staff Screening?

The same CSV-based approach works for OIG exclusion screening. Export your staff roster from your EHR or HR system, upload it, and ClientCare screens every name against the OIG LEIE and SAM.gov with fuzzy name matching. Monthly screening happens automatically after each LEIE update.

One upload handles both patient eligibility and staff compliance. Two of the most critical compliance obligations for home health agencies, automated without touching your EHR.

Keep your EHR. Add eligibility monitoring.
